Privacy policy

What we collect

Your name, e-mail address and password (stored only as a one-way hash); your business profile; the clients, hours, invoices, payments and expenses you enter; receipt images and PDFs you upload; the e-mails the app sends on your behalf and whether they were delivered; and technical logs (IP address, browser, sign-in attempts) used to keep accounts secure.

How we use it

To run Vair for you: produce invoices and reports, e-mail invoices to the recipients you choose, read receipts you upload, and protect your account. We do not sell personal information and we do not use your data for advertising.

Receipt reading

Receipts are read on Vair's own server with open-source text recognition (Tesseract) and our own rules; the receipt is not sent to any third-party AI service. When you use the camera, the receipt outline is detected in your browser and only the flattened photo is uploaded. You review every extraction before it is saved.

Where it lives

Data is hosted with Amazon Web Services in the United States (us-east-2, Ohio): an encrypted database, encrypted file storage for receipts, and Amazon SES for outgoing e-mail. Backups are kept for seven years. By using the service you consent to this cross-border storage.

How long we keep it

Invoices, receipts and related records are business records; we keep them for seven years from creation, in line with Canada Revenue Agency expectations, then delete them. Security logs are kept for up to seven years. If you close your account, your sign-in details are removed and the records are retained for that period only.

Your rights

You can see and export your data from the app at any time, correct it, and ask us to close your account. Ontario and Canadian privacy law (PIPEDA) applies; you may contact the Office of the Privacy Commissioner of Canada with a complaint.

Cookies

Vair sets one session cookie to keep you signed in and one short-lived cookie for status messages. There are no advertising or analytics cookies.
